Scheduling Events at Main Campus

How to Request Space:

If you are a Temple Faculty or Staff member:

To request space for a meeting or event, please click on the Special Events Request Form (PDF). Complete the form, save it, and email it to classrms@temple.edu at least 10-working days prior to the event.

If you are a member of a Registered Student Organization:

You must request space through the Office of Student Life in the Student Center. You may call Alicia Ferguson at (215) 204-7131 or visit the Student Center website for more information.

If you are a member of an Outside Community Organization:

Please contact the Office of Community Relations at (215) 204-7913. Please note, any Temple University employee who requests the University's permission for a third party to use Temple University property (a room, outdoor space, building, walkway, etc.) for any activity whatsoever (for example; a seminar, flea market, concert, or social event) must complete the Temple University's Facilities Use Agreement form. Please refer to the University Counsel's webpage for instructions on completing this form.

FAQs:

Q: Is there a fee to book a room for Temple faculty and staff?
A: There is no charge to book an event in a non-smartroom. For smartrooms, including lecture halls and computer labs, there is a charge only if the event is scheduled outside Classroom Technology Support's normal hours of operation. By signing the Special Event Request Form under the Sponsoring Budget Unit Head Section, you are agreeing to the CTS fees. For more information, please visit CTS Area of Service Page.

Q: How long does it take for event requests to be processed?
A: Most requests will be processed within a week. For events that are outside CTS's normal hours of operation, it may take longer. Also, at the start of each semester, there is a 2 week delay in scheduling events in academic classrooms as classes are moving and settling into their permanent meeting locations.

Q: How will I know if my request has been processed?
A: Confirmations are sent via email from classrms@temple.edu to the requester listed on the form.

Q: How can I check on room availability before completing the form?
A: Unfortunately due to the high volume of requests we receive and process each day, we are unable to check or confirm availability of rooms until we have received and processed your Special Event Form. Submitting this form puts your request in line and allows us to reserve space on a first come first serve basis.

Q: If an event requires tables, chairs, or other set-up needs, who should be contacted?
A: A work order should be submitted to Facilities Management.

Q: If an event requires technology that is not already in the room, who should be contacted?
A: Equipment requests can be made with Classroom Technology Support. Please visit CTS Non-credit Courses and Special Events Page.

Q: If an event requires refreshments, who should be contacted?
A: All food must be ordered through the University caterers, Sodexo (215-204-6789). Please be sure to also contact Housekeeping for proper clean up.

If you are an Outside Organization:
