Procedures for Procuring Special Event Services

FACILITIES MANAGEMENT WORK REQUEST

A work request is required for all special events scheduled on University premises. The work request should indicate date and time of event, estimated attendance and services required. Whenever possible, please include an 8 1/2" x 11" sketch, indicating table/chair layout, location of microphones, podiums, flags/banners, etc. Please note the total number of microphones and any unique sound requirements. Work requests must be received in the facilities management office five working days prior to the event.
 

Facilities Management is prepared to provide:
Tables, chairs, portasound units, water pitchers, glasses, table coverings, table skirting, coat racks, hangers, ramps for wheelchair access to stages including T.U. Mitten Hall Great Court

Accessibility accommodations should be addressed as a standard checklist item when you are planning for special events. 

Please Note:  Portasound units are self-contained PA systems which provide a very inexpensive alternative to traditional PA systems

Stage risers, signage standards, crowd control standards, flags, banners
Attended PA systems, podiums, microphones, malt boxes, temporary electrical service

Even though your event may not require special equipment or services, a work request is required so that we are aware of all activities in our facilities. Reciept of the work request does not imply there will be a charge. Charges will occur in those situations where clean-up is required.
 

INSTRUCTIONAL SUPPORT SERVICES
 

Facilities Management does not arrange for A/V aides. A/V services i.e., overhead projectors, movie projectors, video cameras, VCRs, audio recording equipment are furnished by Instructional Support Services 1 -8572

DISABILITY RESOURCES AND SERVICES (DRS)
 

DRS can assist in locating qualified interpreters and other services needed for making you activity accessible. Call Dortothy Cebula, DRS Director at 1 - 1280 (FAX 1 -6794).

OUTSIDE ORGANIZATIONS
 

Should your event be sponsored by, or involve groups outside the University, you must obtain prior approval from the Office of Community Relations 1-7913
It is suggested that you begin this process as far in advance as possible, in order to afford Community Relations ample opportunity to review the request, insurance requirements, etc

OUT OF HOURS EVENTS
 

Should your department schedule an event which will take place in the evening or on weekends, notification should also be furnished to the Department of Security and Protection, Attention: Mr. Carl Bittenbender - 1-2064 or 1-2066
