Introduction

This user's guide describes the features and explains the operation of the single line instrument.

Touchpad

The touchpad digits are used to activate features. The desired feature code must be preceded by the appropriate star sign (*) or pound sign (#) as indicated.

Switchhook

All features must be initiated from dial tone. If you are in conversation mode, momentarily depressing and releasing the switchhook is required to obtain dial tone. After depressing and releasing the switchhook, the word "Enter" will be repeated three times followed by dial tone. You can then key in the selected feature code.

Class of service

Class of service determines the calling capabilities available on your instrument. Your phone is assigned a class of service to suit your calling requirements.

Tones

Tones generated by the system provide information about a call. Several different tones, heard through the handset, are as follows:

  • Confirmation tone - two beeps
    Input accepted by system.

  • Reorder tone - fast busy
    Input rejected by system.

  • Call waiting tone
    One short ring - internal call
    Two short rings - external call

  • Ring beep tone
    Called extension is busy and call waiting is invoked.

  • Busy tone - busy signal
    Dialed number is busy.

  • Zip tone - quick ring
    Call has been forwarded.

Ringing

The system uses different rings to identify the type of incoming call:

  • one ring - internal call

  • two rings - external call

  • three rings - priority call

Voice response unit

The system contains a voice response unit that is used to notify you of call status and feature usage. The voice response is heard through the handset. Some typical phrases are as follows:

  • "Park number X."

  • "All lines busy; please hold."

  • "Extension X is not in service."

In addition to phrases, the system also contains the following vocabulary used to facilitate the feature usage:

  • Enter
    A switchhook has been satisfactorily performed.

  • Held
    Action has been taken to obtain dial tone and a call has been placed on hold.

  • Message
    Action has been taken to obtain dial tone and a conference has been placed on hold.

  • Forward
    Action has been taken to obtain dial tone and calls have been forwarded to another extension.

  • Conference
    Action has been taken to obtain dial tone and a conference has been placed on hold.

  • Invalid
    An invalid feature code has been dialed.

NOTE: Each message is repeated three times, followed by dial tone. It is not necessary, however, to wait for the third repetition and dial tone before proceeding with a function.

Placing a call

The following table identifies the prefix for each University location.

To place an internal call:
· Lift handset.
      You will receive dial tone.
· Key in extension number.

To place an outside call:
· Lift handset.
      You will receive internal dial tone.
· Dial 9.
      You will receive external dial tone.
· Key in desired number.

Last number redial

The system automatically remembers the last outside number dialed and allows that call to be easily accessed.

To redial last external call:
· Lift handset.
· Depress #9.
       Last external number is redialed.

Call pickup

Any instrument with an assigned call pickup group can answer any extension within that group.

To pick up any ringing extension:
· Lift handset.
· Depress #7.
       Ringing extension will be retrieved at your extension.

Hold

To place a call on hold:
· Depress switchhook.
       "Enter" is repeated three times followed by dial tone.
· Depress *4.
       Hold is invoked and dial tone returned.

NOTE: At this point, you have the option to replace the handset or place another call. To alternate between calls, repeat the above steps.

To retrieve a call from hold:
· Lift handset.
       "Held" is repeated three times followed by dial tone.
· Depress *4.
       Call is retrieved.

Transfer-unannounced

To transfer a call to another extension without announcing the transfer:
· Depress switchhook. 
       "Enter" is repeated three times followed by dial tone.
· Depress *1.
       Present call is held and dial tone is returned.
· Key in extension number.
· Replace handset.
       Call is transferred.

NOTE: If the extension to which you are transferring is busy or unanswered, the call will return to you with a priority ring.

Transfer-announced

To announce a call before transferring to another extension:
· Depress switchhook. 
       "Enter" is repeated three times followed by dial tone.
· Depress *1.
       Present call is held and dial tone is returned.
· Key in extension number.
· Announce the call.
· Replace handset.

To return to original party if unable to complete transfer:
· Depress switchhook.
       "Enter" is repeated three times followed by dial tone.
· Depress *1.
       You have returned to the original party.

NOTE: If the call is not accepted, the party to whom you are transferring must replace their handset or a three-way conference will be established.

Call waiting

While engaged in conversation, you may hear one or two short rings through the handset. These are call-waiting tones and indicate that a call is waiting. You may ignore the tone or put your present call on hold and accept the waiting call.

To activate call waiting:
· Depress the switchhook.
       “Enter” is repeated three times followed by dial tone.
· Depress *4
       The present call is held and dial tone is returned.
· Replace the handset.
       The waiting call will ring at your extension.

To alternate between calls:
· Depress the switchhook.
       “Enter” is repeated three times followed by dial tone.
· Depress *4.

NOTE: Only one caller may wait on one line. Subsequent callers will receive a busy tone.

Call park

With this feature, you can park a call at a specified parking number and retrieve the call from any extension.

To park a call:
· Depress the switchhook.
       “Enter” is repeated three times followed by dial tone.
· Depress *9.
       The voice response unit will announce the parking number once.
· Replace the handset.

To retrieve a parked call:
· Lift handset on any system extension.
· Key in the parking number.
       Call is retrieved.

NOTE: If a parked call is not retrieved, it will return to the extension which parked it with a priority ring.

Abbreviated dialing

Abbreviated dialing offers the opportunity to set up a personal directory of ten frequently called internal or external numbers, each identified by a one-digit reference code (0-9) that you assign.

NOTE: If the number that you store is outside the system, you must include the access code ( 9) with the number.

To store or change a number:
· Lift handset.
· Depress #4*.
· Key in reference code (0-9).
       Confirmation tone returned.
· Key in the number you wish to store.
       Confirmation tone returned.
· Replace handset.

To place a call:
· Lift handset.
· Depress #4.
· Key in reference code.
       Call is placed.

Call forwarding

Call forwarding gives you the option to forward your calls to another extension.

To forward all calls:
· Lift handset.
· Depress *3.
       Confirmation tone returned.
· Key in receiving extension number.
       Confirmation tone returned.
· Replace handset.
       Calls will now be forwarded.

To cancel call forwarding:
· Lift handset.
· Depress #3.
       Confirmation tone returned.
· Replace handset.

NOTE: When an incoming call is intended for the originating extension, an abbreviated ring is heard on that instrument. This acts as a reminder that calls are being forwarded. The extension to which calls are forwarded is the only extension which can place and transfer calls to the originator.

Conference call

With a conference call, you can join up to three parties on one call. At least one system user must remain in the conference.

To add parties to existing conversation:
· Depress switchhook.
       "Enter" is repeated three times followed by dial tone.
· Depress #1.
       Present call is held and dial tone is returned.
· Key in third party's number.
· Announce conference.
· Depress switchhook.
       "Enter" is repeated three times followed by dial tone.
· Depress #1.
       All three parties are connected.

If called number is busy or unanswered:
· Replace handset.
· Lift handset.
       "Conference" is repeated three times followed by dial tone.
· Depress #1.
       You are connected with original party.

To put a conference on hold:
· Depress switchhook.
       "Enter" is repeated three times followed by dial tone.
· Depress #1.
· Replace handset.

To retrieve a conference from hold:
· Lift handset.
       "Conference" is repeated three times followed by dial tone.
· Depress #1.
       You are connected with conference.

NOTE: While on hold, the other parties may continue conversation.

Callback-busy

Callback-busy allows you the leave a message on a busy internal extension. When the busy extension becomes idle, the system will automatically call back.

To leave a callback-busy message:
· Depress switchhook.
      "Enter" is repeated three times followed by dial tone.
· Depress *7.
       Confirmation tone returned.
· Replace handset.

NOTE: If the called extension has ten callback messages, reorder tone is returned.

When called extension becomes idle:
Originating extension receives a priority ring.
· Lift handset.
       Call is placed.

NOTE: If there is no answer at the originating extension, the system will cancel the callback.

Callback-no answer

Callback-no answer allows you to leave a callback message on a busy internal extension that has not been answered.

To leave a callback-no answer message:
· Depress switchhook.
       "Enter" is repeated three times followed by dial tone.
· Depress *7.
       Confirmation tone returned.
· Replace handset.

NOTE: If the called extension has ten callback messages, reorder tone is returned.

To return a callback-no answer message:
· List handset.
       "Message" is repeated three times, followed by dial tone.
· Depress *7.
       Call is placed to originating extension.

On line queuing

On line queuing allows you to automatically place a station in queue for an outgoing line while remaining off-hook. The voice response unit informs you that all lines are busy. When a line becomes available, the call is placed.

Callback queuing

Callback queuing allows you to place an external call in queue for an outside line. The voice response unit provides instructions to queue.

To queue:
· Depress 5.
       System announces queue number.
· Replace handset.
· Record queue number and number dialed for reference.

When a line becomes available:
Priority ring returned.
· List handset.
       System repeats queue number and call is automatically placed.

NOTE: If you no longer wish to place the call, replace your handset.
