Warning, Probation, Dismissal and Reinstatement Policy Implementation

Calendar of Operations – 05/17/04 through 09/14/04 

·        05/17/04: Official academic action processing to evaluate student status as a result of Spring 2004 grades. Students will be selected for the following action groups: Academic Warning, Academic Probation, Academic Dismissal, Returned to Academic Good Standing.  The academic action processing includes the following components: 

o       Reports of students selected for action groups delivered via Report2Web to:

§         Academic Records

§         Vice Provost for Undergraduate Studies

§         Financial Aid

§         Housing

§         School/College advising centers

§         Athletics

§         Disability Resources and Services

§         International Services

§         Russell Conwell Center 

o       Academic action events and holds posted to student records in ISIS

§         Additional ISIS updates for dismissed students: cancellation of Summer II and Fall registrations; change of academic status to non-matriculated. 

o       E-mails to students selected for action groups directing them to OWLnet for details about the academic action.

o       Student mailers for students selected for Academic Probation. 

o       Download file for use by Swift to generate personalized letters to students selected for Academic Dismissal. 

o       Download file for use by Computer Services to post student academic action details to the Academic Advising Database. 

o       Data file for use by Planning and Policy Analysis consisting of all academic action ISIS event transactions produced by this process.

 

·        05/18/04 through 05/28/04, daily M-F: Batch process to identify students whose academic action categories have changed due to late/changed grades.  This process includes the following components: 

o       Reports of students selected for changed action groups delivered via Report2Web to:

§         Academic Records

§         Vice Provost for Undergraduate Studies

§         Financial Aid

§         Housing

§         School/College advising centers

§         Athletics

§         Disability Resources and Services

§         International Services

§         Russell Conwell Center 

o       Academic action events and holds updated on student records in ISIS

§         Additional ISIS updates for newly dismissed students: cancellation of Summer II and Fall registrations; change of academic status to non-matriculated.

 o       E-mails to students selected for changed action groups directing them to OWLnet for details about the updated academic action.

 o       Updated data file for use by Planning and Policy Analysis consisting of all academic action ISIS event transactions produced by this process (adds and deletes).  Data records to be appended to file established on 05/17/04.

 

·        05/21/04 and 05/28/04: Batch process to select student records with new Academic Probation or Academic Dismissal events added during the week leading up to and including the run date.  This process includes the following components: 

o       Student mailers for students selected for Academic Probation. 

o       Download file for use by Swift to generate personalized letters to students selected for Academic Dismissal. 

o       Updated data file for use by Planning and Policy Analysis consisting of records for all students selected for this process.  Data records to be appended to file established on 05/17/04. 

·        05/28/04:  Batch process to cancel Summer I registrations for Academic Dismissal students with no Conditional Student Registration event (i.e., not approved by an academic adviser for continued registration). 

·        06/04/04, 06/11/04, 06/18/04, 06/25/04, 06/29/04:  Batch process to identify students whose academic action categories have changed due to late/changed grades.  This process includes the following components: 

o       Reports of students selected for changed action groups delivered via Report2Web to:

§         Academic Records

§         Vice Provost for Undergraduate Studies

§         Financial Aid

§         Housing

§         School/College advising centers

§         Athletics

§         Disability Resources and Services

§         International Services

§         Russell Conwell Center 

o       Academic action events and holds updated on student records in ISIS

§         Additional ISIS updates for newly dismissed students: cancellation of Summer II and Fall registrations; change of academic status to non-matriculated.

·        07/09/04:  Batch process to identify Academic Probation and Academic Dismissal students who have improved their GPA’s as a result of Summer I grades (and are not registered for Summer II) and to assess Warning, Probation and Dismissal students not registered in either Summer session for improvement as a result of grade changes.  (Note: Students with any MG or NR grades for Summer I will not be evaluated.)   

Students will be selected for the following action groups:  Returned to Academic Good Standing (probation students who have raised their cumulative GPA’s to 2.00 or above), Dismissed – Eligible for Reinstatement (dismissed students who have cleared at least half their deficiency points at dismissal), Deficiency Points Cleared (dismissed students who have cleared all deficiency points), Off Warning (warning students whose Spring 2004 semester GPA’s have risen to 2.00 or above due to late/changed grades for Spring 2004).  This process includes the following components: 

o       Reports of students selected for changed action groups delivered via Report2Web to:

§         Academic Records

§         Vice Provost for Undergraduate Studies

§         Financial Aid

§         Housing

§         School/College advising centers

§         Athletics

§         Disability Resources and Services

§         International Services

§         Russell Conwell Center 

o       Academic action events and holds updated on student records in ISIS 

o       E-mails to students selected for changed action groups directing them to OWLnet for details about the updated academic action. 

o       Download file for use by Computer Services to post student academic action details to the Academic Advising Database. 

o       Updated data file for use by Planning and Policy Analysis consisting of all academic action ISIS event transactions produced by this process (adds and deletes).  Data records to be appended to file established on 05/17/04. 

·        07/16/04, 07/23,04, 07/30/04, 08/06/04, 08/13/04:  Batch process to evaluate Probation and Dismissal students for improvement who had one or more MG/NR grades for Summer I on 07/09/04 but whose Summer I grades are now complete.  Warning, Probation and Dismissal students not registered in either Summer session will also be assessed at this time for improvement as a result of grade changes. ·        08/20/04, 08/27/04, 09/03/04, 09/10/04, 09/14/04:  Batch process to identify Academic Probation and Academic Dismissal students who have improved their GPA’s as a result of Summer II grades and to assess Warning, Probation and Dismissal students not registered in either Summer session for improvement as a result of grade changes.  Note: Probation and Dismissal students with any MG or NR grades for Summer I who could not be evaluated through 08/13/04 will be evaluated at this time.
