Lodging Reimbursement

  • Travelers are expected to utilize economical accommodations. Reimbursement for lodging may not exceed the normal rate for a standard room. If an individual is attending a convention or conference, use of the convention or conference hotel is appropriate.
  • Travelers should request the educational rate where available.
  • In Philadelphia, employees and business guests of the University are required to use the official Temple University hotel. Exceptions must be approved by the Associate Vice President for Business Services.
  • Reimbursement must be documented by an original itemized hotel bill and receipt, and is limited to room and tax, business phone calls and one personal phone call home, per day, if away overnight. Laundry is only reimbursable if away for more than five days.
Hotel Policy and Procedures

The Conwell Inn, located on main campus, is Temple University’s Official Lodging Provider.

All reservations at the Conwell Inn include free high speed internet (Wireless & Ethernet), free continental breakfast, 24 hour coffee and tea in the Lobby and fresh baked cookies and fresh fruit every afternoon.

Parking is available on a first come, first served basis at a discounted rate of $12 per night (come and go as you please). Parking may be reserved at the time of reservation for $15.

Posted rates do not apply to high demand event periods (Homecoming, Graduation, Move-in, etc…)

Temple University and Hospital Rates (Paid by University)

These rates apply to functions, group bookings or individual reservations when made by an authorized Temple University representative and when charges are paid by Temple University. Temple University & Hospital Preferred Associate Rates (Paid by the Guest)
2008-2009

$149.00 - Best Available Room, Sunday through Thursday, Single or Double
$139.00 - Best Available Room, Friday or Saturday, Single or Double Occupancy
3rd or 4th Guest in Room, additional $10 per person
Children 16 and younger are free

These preferred rates apply to functions or group bookings that may be scheduled by a representative or department head of Temple University. Guests using the preferred Temple University associate rates will be responsible for their own charges. These preferred rates are also extended to Temple University faculty, staff, students, prospective students, and alumni (with valid Temple alumni card) when staying at the Inn on personal or Temple University related business and are subject to availability. Call the hotel directly for reservations. No forms are needed.

Procedures for Securing Services at Alternate Hotels with Temple University Rate Agreements

It is mandatory to use The Conwell Inn. If The Conwell Inn is not available, then you may use one of the alternate hotels. They are the DoubleTree Hotel Philadelphia; Club Quarters; Holiday Inn Express (Midtown); and Hilton Garden Inn.

1. DoubleTree Hotel
Broad Street at Locust, Philadelphia, PA 19107

Temple University’s agreement with the DoubleTree Hotel Philadelphia covers the contract period from July 1, 2008 to June 30, 2010. The rates listed are subject to applicable taxes and conditions outlined. Please contact the DoubleTree Hotel Philadelphia as far in advance as possible to book rooms, hold rooms, or schedule events. If you have any problems in dealing with the DoubleTree Hotel Philadelphia, or any questions, contact the Office of Associate Vice President for Business Services at 215-204-5144.

General Temple University Rates
2008 – 2010

$125.00 single/double
$135.00 triple/quad

These rates apply to functions, group bookings or individual reservations when made by an authorized Temple University representative and when charges are paid by Temple University via direct billing. In addition, these rates apply to those reservations in which attendees have valid, current Temple University identification. This identification is to be presented upon check-in, i.e., Temple students, faculty, staff.

All reservations under this direct bill rate category must be made by contacting the hotel directly or by faxing the Temple University Reservation form.

Temple University Preferred Associate Rates
(Single/Double Occupancy)

$152.00 single/double Weekday – Sunday – Thursday
$135.00 single/double Weekend – Friday or Saturday
For triple or quad occupancy, add $10.00 for each additional person per room.

These preferred rates apply to functions or group bookings that may be scheduled by a representative or department head of Temple University. Guests using the preferred Temple University associate rates will be responsible for their own charges. These preferred rates are also extended to Temple University faculty, staff, students, prospective students when staying at the hotel on personal or Temple University related business, and alumni (with valid Temple alumni card) when staying at the hotel on personal or Temple University related business.

After the reservation has been made by telephone, confirm your reservation by faxing to the hotel the "Temple University Room Reservation Request" (for use only when charges are to be paid by Temple). Space and Room Availability
There are certain times of the year when the hotel is particularly busy with conferences utilizing much of the hotel’s meeting space. These specific times include April, May, June, September, and October. If space is needed in the hotel during these times, it is suggested that arrangements be made as far in advance as possible. However, Temple will have last room availability.

There will also be some time periods where the hotel’s meeting and or guest rooms are fully committed. This may preclude the hotel from having space available for a Temple function. In these instances, they will offer alternate space and dates where they can accommodate the function.

Cancellation Policy and Fees
The DoubleTree Hotel Philadelphia will assess no penalty charge for cancellations provided they have at least sixty (60) days notice of cancellation. If they are given less than sixty (60) days notice and are unable to resell the space, they will assess a penalty charge, which will be 50% of the anticipated room revenue. If a unique situation occurs, resulting in cancellation, they will review their policy in light of the existing circumstances in order for the outcome to be a fair and equitable one for both parties.

Billing Instructions – Payment Policy
Upon receipt of invoice, PLEASE SIGN INVOICE AND CODE WITH ACCOUNT AND CENTER AND FORWARD TO ACCOUNTS PAYABLE FOR PROCESSING. This charge will appear on your Cost Center Report the following month.

For functions or group bookings that are not billed to Temple University, payment must be made in advance unless credit has been established with the DoubleTree Hotel Philadelphia Credit Office.

Catering/Conferences
For catering functions (banquets or one-day meetings), contact the Catering Sales Department at 215-893-1679. For conferences, reservations for blocks of rooms, contact the Sales Manager at 215-893-1682.

Parking Facility
The parking facility in the hotel complex is not owned or operated by the DoubleTree Hotel Philadelphia, and rates are subject to change without prior notice. The current rates for parking for registered guests of the hotel are:
$22.00 self-parking/overnight
$26.00 valet/overnight

 

2. Club Quarters – Philadelphia

Direct billing for Temple this location only, personal credit card for Temple employees
For employees not using departmental direct billing, you will be required to use your personal credit card for reservations at any of the Club Quarters locations.

Telephone: 215-282-5100. Indicate that you want the Temple University room rate, which charges are to be billed directly to Temple, and provide the appropriate Club Quarters direct bill account number. After the reservation has been made by telephone, fax the "Temple University Room Reservation Request" to the hotel to confirm your reservation. This form is to be used only when charges are to be paid by Temple. Where possible, reservations should be made by list or reservation form to eliminate errors and to clarify specific billing instructions. Invoice for payment will be forwarded directly to Accounts Payable. Please note: If the clerk does not receive this form, your reservation may be cancelled.

If your department does not have an account number, ask to speak with Maria Shum (212-626-9387). To establish an account, you will be required to send a memo on departmental letterhead to include the following information.

    a. the signature of the budget unit head responsible for charges to be billed to your account
    b. a list of the services that are to be charged
    c. the department budget account number to be charged

Please contact the Hampton Inn Hotel as far in advance as possible to book rooms, hold rooms, or schedule events. In addition, these rates apply to those reservations in which attendees have valid and current Temple University identification. This identification is to be presented upon check-in, i.e., Temple students, faculty, and staff.

Temple University employees, business associates and/or companions, if applicable, are responsible for full payment at time of checkout unless a master billing account has been established. Each department will need to complete a direct billing application, and the department head will need to be approved by the hotel prior to any reservations being confirmed. Room Availability
Temple University has "Last Room Availability." This means that for any available rooms in the hotel, Temple associates will be able to get the special rate and reserve a room.

Cancellation Policy and Fees
The Hampton Inn will assess no penalty charge for cancellations provided by 6:00 pm on the night of arrival. If a guest does not cancel within this specified time frame, they will be automatically charged for a full night’s stay - no exceptions.

Catering/Conferences
For catering functions (banquets, meetings, etc.), please contact the Hampton Inn main number at 215-665-9100. The hotel utilizes Jack Kramer, an outside catering company, for all catering needs.

Parking Facility:
The parking facility is not owned by the hotel. It is located across the street (Patriot Parking). Rates are subject to change without prior notice. The current parking rates for registered hotel guests are:
