Recommended Submission Timeline


As soon as you are interested

- Send an email with the program announcement and submission deadline to your Chairperson, Departmental Business Manager, and Sheri Ozard, Director of Research.


- Sheri will schedule a meeting with you to discuss the application and budget, and develop a timeline. Here are some items you should consider prior to the meeting.

- Sheri will coordinate with your Business Manager about the budget.

- If applicable, Sheri will set up an electronic application in eRA@TU.

- If the application will be submitted to a foundation, Sheri will obtain approval from Institutional Advancement. This is required to ensure that Temple faculty are not competing against other Temple requests.

By 6 weeks prior to the deadline

- Start working with your Business Manager on the budget, utilizing the CHP budget template.

- If desired, contact Health Research Associates about reviewing your specific aims or proposal.

- Contact subawardees and consultants to determine their budgets and begin the necessary paperwork. Ideally, we should receive their documentation for NIH grants 2 weeks in advance of the application deadline.

By 4 weeks prior to the deadline

- Continue subaward and overall budgets.


- Develop research plan and additional application elements.

By 2 weeks prior to the deadline

- Receive subaward and consultant materials.


- Coordinate with your Business Manager about circulating the SPAF for signature approvals in other departments and your own department. The SPAF must be circulated with an abstract and budget, which may be in draft form. Please use the CHP budget template – do not complete the budget forms on SPAF.

At least 10 business days prior to the deadline

- Submit SPAF to Sheri for CHP approvals and submission to SPA. The PI and Business Manager will receive a copy of the SPAF Transmittal Memo for their files.

- If a SPAF is submitted less than 4 days prior to the deadline, CHP cannot guarantee that we will be able to obtain CHP or University-level approvals for the proposal to be submitted.

- If you will require Sheri's assistance with preparing or uploading application materials, you must submit them at least 4 days prior to the deadline. For major NIH deadlines, a longer lead time may be required.

- If you are finalizing the proposal or other documents after the SPAF has been submitted, please provide the final documents to both SPA and Sheri as soon as they are completed, for their records.

By the submission deadline

- If you provide the documents to Sheri Ozardat least 3 business days prior to the application deadline, Sheri will upload the files into eRA. If you are unable to make this deadline, you will be responsible for uploading the files yourself.


- SPA will submit to the sponsoring agency or notify the PI that an application is approved for direct submission. SPA will send copies of the signed SPAF and final submission to the PI and Sheri Ozard.

After submission (up to 2 business days)

- For NIH grants, PIs have two business days to correct any errors. SPA will receive and forward notifications as the application is routed through grants.gov, so PIs should check their email regularly during this time.
