What is the timeline for submission?

  • Immediately after identifying a grant opportunity to which you will apply, notify Kimberly Fahey. This will ensure that she has your deadline on her calendar, and your materials can be submitted in a timely manner.

  • 2 weeks prior to the deadline, circulate the required materials for required University signatures.

    10 days (minimum) prior to the deadline, submit the required materials to Kimberly Fahey for approvals and submission. If these materials are submitted to Ms. Fahey less than 4 days from the deadline, CLA cannot guarantee that appropriate CLA or University-level approvals can be obtained for the proposal to be submitted.

  • By application deadline, submit all finalized materials for submission to the funding agency.

  • After submission (up to 2 business days), applications to NIH may correct any errors. The Sponsored Projects Administration staff with whom we work will receive and forward notifications to the applicant as the application is routed through eRA@TU.

What materials are required?

Temple University required materials

-Sponsored Projects Approval Form (SPAF) is required to submit the following:

  • Letters of intent (LOIs), if the letter requires the amount requested or a budget
  • New proposals
  • Continuations, renewals, supplements, and amendments to current grants
  • Contracts, subcontracts, subawards, consortium agreements, or cooperative agreements

-Budget, which may be in draft form, to be circulated with SPAF

-Abstract, proposal, or LOI, which may be in draft form, to be circulated with SPAF

-Subaward materials, if applicable

-Consultant statement of work, if applicable

-Indirect rate statement from funder, if below 26%

Is applying to a foundation a different process?

If you intend to apply to a foundation, please notify Kimberly Fahey, as the submission may require additional approvals from the Dean’s Office.  In some cases, Foundations limit the number of submissions from an applicant (i.e. Temple University). To ensure that the University and faculty comply by the foundation guidelines, CLA will thoroughly examine the foundation criteria for approval. 

 

What is the routing process?

After the University required materials are submitted to Kimberly Fahey, she will review them to ensure compliance with University requirements.  The applicant will be notified if any changes or additional information are required.  Please note that your documents can be routed for signature while still in draft form.  From CLA, the documents are routed for approval as follows:

 

  • Department Chair and/or Center/Institute Director
  • CLA Director of Research (on behalf of CLA Dean)
  • Office of the Senior Vice President for Research and Strategic Initiatives

What is eRA@ TU?

Regarding grant applications, Temple University is currently in the process of transitioning from a paper application process to an electronic application process.  This will be done using a new system, eRA@TU, which is also known as Electronic Research Administration. This system will encompass both the pre and post award part of the grants process.

 

Currently, only NIH and NSF applicants can apply using eRA@TU. However, in the coming months, Temple staff will continue to develop eRA@TU so that it can be used to submit grant applications to all types of funders (federal, state, local, foundation, etc.).

 

In order to make a full transition to this new process, it will be mandatory for CLA applicants for an NIH or NSF grant to use eRA@TU by January 2, 2009.  This will extend to applicants to other types of organizations after that portion of eRA@TU has been developmed.
